Privacy Policy

Status: DRAFT — pending legal review. Effective date: [pending counsel].

This draft policy describes what the ClaimNova storefront collects today, why, and how to reach us about your data. It has not been finalized by counsel and may change before adoption.

1. Who we are

ClaimNova produces the Claim Basis Report, a neutral read of a claim file, operated by ClaimNova Technology LLC (entity name is DRAFT — pending counsel confirmation). ClaimNova does not adjust or handle claims.

2. What we collect

When you place an order, we collect what the order form asks for:

  • Contact and firm details — firm name, contact name, your role on the claim, email, and optional phone number.
  • Order details — the report type ordered, carrier, claim state, optional claim number, any notes you add, and any optional claim context you supply (loss description, policy type, coverage notes, inspection notes, special circumstances).
  • Uploaded claim documents — the files you upload with the order, such as estimates, photos, policy documents, and correspondence.

3. Why we collect it

We use this information to perform the review you ordered: to confirm your document set is complete, to prepare your report, and to communicate with you about the order. New orders trigger an internal notification email to our operations inbox.

4. Where it is stored

Order records are stored in a dedicated, access-controlled orders database, and uploaded files in a private file-storage bucket. The credentials for both are server-only and are never exposed to the browser.

5. What we never do

  • We never sell identifiable firm, client, or claim data.
  • Identifiable data is never sold or shared.
  • This storefront uses no third-party advertising or analytics trackers — no ad pixels, no analytics scripts.

The only third parties that touch order data are the providers that operate the service: our database and file-storage provider, and the email service that delivers our internal order notifications.

6. De-identification commitment (DRAFT — pending counsel)

Claim materials may be de-identified — processed so that no person, firm, or claim can be identified from them — before being used to improve the service. Only de-identified material is ever used that way, and identifiable data is never sold. The detailed consent language for this commitment is being finalized with counsel before it is presented at intake.

7. Retention and deletion

We keep order records and uploaded documents for as long as needed to deliver your report and maintain our business records; a formal retention schedule is pending counsel. You may request deletion of your order data at any time by emailing orders@claimnova.com.

8. Email communications

We email you about your orders. Any marketing or update emails are separately consented to, and you can revoke that consent at any time — every marketing email carries an unsubscribe path.

9. Changes and contact

This policy is a draft and will be replaced by a counsel-finalized version. The current version is always available at this address. Privacy questions and deletion requests: orders@claimnova.com.
